The Senior Administrative Coordinator, Accounting & Finance will report to the SVP, Chief Accounting Officer in our Norwalk office and will support 2 Senior Vice Presidents and 4 additional Vice Presidents and their staff of approximately 30.
Booking Holdings, Inc. is seeking a professional Senior Administrative Coordinator to support the Chief Accounting Officer (CAO) and other executives. The successful candidate will partner directly with the CAO to help support their needs, and those of the Finance and Global Communications teams. The successful candidate should be highly organized, motivated, goal oriented, and comfortable with numbers, various financial software systems, and working in a fast-paced high-tech organization. The successful candidate will thrive in a dynamic, goal focused environment and should be proactive with respect to attention to details and driving results. This person has the opportunity to have impact in driving critical initiatives within the Finance organization under the direction of the CAO and will be a contributor to the success of the Finance functions.
Responsibilities and Duties:
Actively manage the CAOs time and calendar to ensure that critical projects, meetings, and goals are successfully accomplished. Create agendas, drive action items, and ensure that all meetings run effectively.
Partner with the senior leadership team to lead the quarterly external reporting finance calendar and deliverables including board and committee materials .
Support of the broader Finance and Communications teams team to include: Corporate Development, Internal Audit, Finance Optimization, Business Integration, Cyber Security, Treasury and Global Communications.
Assist the CAO and others in creating presentations, reports, and other materials to communicate effectively within the Finance organization and to the external Wall Street community and investors.
Plan travel arrangements, coordinate schedules, organize functions, and manage external relationships with important partners and constituents.
Act as back up support for important filings (including tax and government filings), events, meetings etc. during peak times and if other assistants are unavailable.
Help teams to develop and manage a detailed project schedule and track project performance ensure timely completion of team goals.
Support the Accounting & Finances team with ordering and maintaining office supplies. Assist the HR team with various office services items, in support of their teams.
Meetings, Events and Travel:
Lead the organization of departmental/team events, offsites, or similar with the help of other company assistants.
Prepare, collect, collate and distribute materials for key meetings and events. This includes follow up and outcome tracking e.g. taking notes, tracking and following up on action points, as well as ensuring that logistics run seamlessly.
Manage end-to-end travel needs e.g. logistics and visas, including coordinating itineraries across multiple stakeholders and gathering/developing/collating preparation materials for meetings/presentations.
Welcome guests as they arrive to our office in a warm and hospitable manner and assist guests with all check in procedures.
Strong attention to detail with excellent organizational skills. Ability to track and manage action items and hit deadlines.
Technically savvy with ability to learn new software quickly. Finance team is a heavy user of Excel, Powerpoint, Google Slides, Docs, Sheets, and Workiva. Strong technology skills are required.
Experience in Microsoft Suite, Gmail, and Google Docs platform; familiarity with communication tools like Slack, Zoom and BlueJeans.
Ability to work independently.
Strong interpersonal skills, and ability to interact collaboratively with all levels in the organization.
Ability to responsibly manage highly confidential and time sensitive information.
Advanced time management and analytical skills.
Previous experience supporting a C-level executive.
5-10 years of progressive experience e.g. administration, operational/business support, executive assistant.
People oriented; strong relationship and stakeholder management skills, and able to engage with people across all levels, and from diverse backgrounds.
Highly organized with excellent planning skills. You take ownership and proactively solve problems, often before it reaches your S(VP).
Exhibit a strong attention to detail, ability to adapt to daily schedules and routines, and focus on efficiency without sacrificing quality.
Prior experience in a corporate, financial environment desired, but not required
Available to offer support outside of normal business hours, or travel, as required.
