Booking Holdings is looking for an energetic, organized and experienced Contracts Manager with experience implementing and running contract management systems and other skills related to contract management and organization.
Responsibilities and Duties
Based in our Norwalk, CT office, and reporting to our Legal Operations Manager, your role will involve supporting the Legal team by creating and/or managing organizational and operational processes to improve the efficiency and effectiveness of the team and managing all aspects of the Company’s contracts management system (Apptus), contract approval process, and storage in the contract database. You will also assist with legal operations generally and perform certain administrative tasks like scheduling and creating presentations. The role requires an organized, detail-oriented, and highly efficient individual with great interpersonal and problem-solving skills.
Assist in the implementation, improvement and ongoing management of the Company’s contracts management system (Apttus) and help to facilitate roll-out of Apttus to Booking Holdings and its brands.
Serve as subject matter expert in Apttus, which includes: training users as needed, tracking requests from internal stakeholders, and generating reports on existing agreements to meet business needs.
Ensure proper storage of agreements executed by Booking Holdings, which includes the archiving of records in accordance with the Company’s document retention requirements. Create and implement a standardized naming convention for storing contracts. Work with the company’s subsidiary brands to understand their storage and retention policies.
Work closely with the Legal team to distribute and maintain updates to contract templates and playbooks, as well as policies and procedures on contract standards and document retention for Booking Holdings and its brands, and identify policy and procedure documents that are outdated or contradictory.
Prepare final versions of Booking Holdings agreements for execution, obtain required signatures through document signing software or otherwise. Ensure proper retention of signed agreements.
Monitor third-party contracts for important changes, including price increases, required approvals, contract expiration and renewal dates, etc., and update this information in Apttus.
Assist in design, implementation and auditing of contract policies and procedures at the Company’s subsidiary brands.
Administrative support of the Booking Holdings legal team.
Bachelor’s degree from an accredited college or university required
Minimum 5-7 years of experience as a legal assistant, paralegal, legal office or operations manager, or comparable legal administration and/or management
In-depth experience and knowledge of Apttus, and contract management systems generally
Demonstrated experience of streamlining legal processes and administering contract and legal matter management systems
Adept at analyzing metrics and data, and creating reports containing key information
Working knowledge of common commercial agreements and NDAs, and the related contracting practices
High level of experience managing various legal-oriented administrative tasks with ease
Strong proficiency in common programs such as Powerpoint, G-suite and Excel, and e-signature tools
Prior experience working directly with key stakeholders throughout an organization including senior leadership, commercial sales & marketing, customer service and HR
Good judgment, high integrity, and strong communication skills
Comfortable operating under pressure/with sense of urgency
In-house experience in a technology company legal department a plus
Some travel may be required with the position (post-Covid)
