Job Overview

Booking Holdings, Inc. is seeking a professional Administrative Coordinator to support the VP, Global Business Services and VP, Risk & Controls and other executives within the Booking Holdings Accounting & Global Business Services function. The successful candidate will partner directly with the VP, Global Business Services and VP, Risk & Controls to help support their needs, and those of the Accounting & Global Business Services team. The successful candidate should be highly organized, motivated, goal oriented, and comfortable with numbers, various financial software systems,  and working in a fast-paced high-tech organization. The successful candidate will thrive in a dynamic, goal focused environment and should be proactive with respect to attention to details and driving results. This person has the opportunity to have an impact in driving critical initiatives within the Accounting & Global Business Services organization under the direction of the VP, Global Business Services and VP, Risk & Controls and will be a contributor to the success of the Accounting & Finance functions. The Administrative Coordinator, Accounting & Global Business Services will report to VP, Global Business Services and support the VP, Risk & Controls in our Norwalk office.  The Administrative Coordinator, Accounting & Global Business Services will support key members (approximately 15) of the Global Business Services and the Risk & Controls teams.  Additionally, the Administrative Coordinator, Accounting & Global Business Services will be the backup for the Senior Administrative Coordinator (who supports the Chief Accounting Officer) .

Responsibilities and Duties

  • Actively manage the VP, Global Business Services and VP, Risk & Controls time and calendar to ensure that critical projects, meetings, and goals are successfully accomplished. Create agendas, drive action items, and ensure that all meetings run effectively.

  • Partner with the Global Business Services and the Risk & Controls teams to organize and assist in the preparation of deliverables including board and committee materials.

  • Assist the Global Business Services and the Risk & Controls teams in creating presentations, reports, and other materials to communicate effectively within the Finance organization, consulting partners, and auditors.

  • Plan travel arrangements, coordinate schedules, organize functions, and manage external relationships with important partners and constituents.

  • Act as back up support for the Senior Administrative Coordinator (who supports the Chief Accounting Officer)during peak times and if other assistants are unavailable.

  • Help teams to develop and manage a detailed project schedule and track project performance ensure timely completion of team goals.

  • Support the Accounting & Finances team with ordering and maintaining office supplies.

  • Assist with the organization of departmental/team events, off-sites, or similar with the help of other company assistants.

  • Prepare, collect, collate and distribute materials for key meetings and events. This includes follow up and outcome tracking e.g. taking notes, tracking and following up on action points, as well as ensuring that logistics run seamlessly.

  • Manage end-to-end travel needs e.g. logistics and visas, including coordinating itineraries across multiple stakeholders and gathering/developing/collating preparation materials for meetings/presentations.

  • Welcome guests as they arrive at our office in a warm and hospitable manner and assist guests with all check in procedures.


  • Previous experience supporting a C-level/Senior Leaders executive.

  • 5-7 years of progressive experience e.g. administration, operational/business support, executive assistant.

  • People oriented; strong relationship and stakeholder management skills, and able to engage with people across all levels, and from diverse backgrounds. 

  • Highly organized with excellent planning skills. You take ownership and proactively solve problems, often before it reaches your S(VP).

  • Exhibit a strong attention to detail, ability to adapt to daily schedules and routines, and focus on efficiency without sacrificing quality.

  • Prior experience in a corporate, financial environment desired, but not required.

  • Available to offer support outside of normal business hours, or travel, as required.

  • Strong attention to detail with excellent organizational skills. Ability to track and manage action items and hit deadlines.

  • Technically savvy with the ability to learn new software quickly. Finance team is a heavy user of Excel, PowerPoint, Google Slides, Docs, Sheets, and Workiva.  Strong technology skills are required.  

  • Experience in Microsoft Suite, Gmail, and Google Docs platform; familiarity with communication tools like Slack, Zoom and BlueJeans.

  • Ability to work independently.

  • Strong interpersonal skills, and ability to interact collaboratively with all levels in the organization.

  • Ability to responsibly manage highly confidential and time sensitive information.

  • Advanced time management and analytical skills.
